Warning Email for Employee Regarding Attendance, Leave and Communication Policy Violations

 

Dear Mr. Employee Name,

 

I am writing to address some serious concerns regarding your recent conduct in the workplace. It has been brought to our attention that you have repeatedly violated company policies regarding attendance, leave and communication during working hours. As an employee, it is crucial to adhere to the company's policies regarding attendance and leave to ensure the smooth functioning of our operations and maintain professional standards.

 

We would like to highlight the following incidents which happens in the month of May – 2024

 

  1. Tardiness: On several occasions, you have arrived late to the office without providing prior notification or a valid explanation. Punctuality is a fundamental aspect of professionalism and is crucial for the efficient operation of our team. On 27th May 2024, you arrived late to the office without providing any valid explanation or prior information.

 

  1. Unauthorized Leave: Additionally, you have taken leave without informing your supervisor or following the established procedures. This lack of communication disrupts our workflow and creates unnecessary challenges for other team members . On 30th May 2024, you were absent from work without any information. You did not inform to your Reporting Manager HOD nor HR Team. This not only creates scheduling issues for other employees but also reflects poorly on your commitment to your responsibilities.

 

  1. Failure to Respond to Calls: Furthermore, there have been many instances where you have failed to respond to calls or messages during working hours, on 27th May 2024. We are trying to contact you to know the status about you that are you coming to office or are you on leave. But you were not responding to calls & same incidence happens on 30th May 2024 as well. Which is unacceptable and hinders effective communication within the team.

 

As an employee, it is your responsibility to adhere to company policies and maintain open lines of communication with your supervisor and colleagues. Your behaviour not only reflects poorly on your own work ethic but also impacts the productivity and morale of the entire team.  

 

As per the company's policy on attendance and leave, it is mandatory for employees to adhere to the following guidelines:

 

  1. Arrive at the office on time as per your designated working hours.
  2. Request leave in advance through the appropriate channels, providing a valid reason for your absence. (Inform your reporting manager in advance, Apply Leave on E-HR Portal)
  3. Communicate any unforeseen circumstances that may prevent you from attending work promptly via WhatsApp or phone call.

 

Failure to comply with these policies not only affects your individual performance but also impacts the overall productivity and efficiency of our team.

 

I urge you to take this matter seriously and rectify these issues promptly. If you are facing any challenges that are affecting your attendance, leave or communication, please communicate them to your Reporting Manager so that appropriate support can be provided .

 

This email serves as a formal warning regarding your attendance and leave-related conduct. We expect immediate improvement in your punctuality and adherence to company policies. Further violations may result in disciplinary action, including but not limited to deduction of salary, suspension or termination of employment.

Please acknowledge receipt of this email with proper explanation of your absence from work without any information on 30th May 2024. Also requested you to please explain reason of leave on 29th May 2024.
