Draft Email format for Complaint Regarding Violation of Company Guest House Policy

 Dear All,

I hope this email finds you well. I am writing to address a serious matter that has recently come to our attention regarding your behaviour in the company provided guest house. We have received a complaint from your landlord regarding loud noise and unnecessary use of lights during the night.

We have a strict policy in place to ensure that our employees maintain a high standard of conduct, both in and out of the workplace. Your actions, as described in the complaint, violate these policies and have caused significant disturbance to your neighbors and potentially damaged our reputation as a responsible corporate entity.

Loud noise during late hours or early in the morning not only disrupts the peace and comfort of your fellow residents but also goes against our company policy.  Excessive noise can lead to serious consequences, including eviction from your current accommodation.

Additionally, the unnecessary use of lights during nighttime not only wastes energy but also affects the environment.

We take these matters very seriously, and we expect all our employees to adhere to our policies and to act as responsible and considerate members of the community.

To rectify this situation, we request that you:

1.Immediately cease any behaviour that violates the company policy.

2.Take steps to ensure that your actions do not disturb your neighbours or cause further inconvenience.

Failure to comply with these expectations may result in disciplinary actions, including but not limited to a formal warning.

We believe in giving our employees the opportunity to rectify their actions and learn from their mistakes. We hope that you will take this matter seriously and make the necessary changes to ensure that such incidents do not occur again.

If you have any concerns or wish to discuss this matter further, please do not hesitate to reach out to Mr. Bhupendra Kumar / Mr. Nitender Singh.

We trust that you will address this issue promptly and responsibly.
